1. About this Privacy Policy

This Privacy Policy explains how AusLanka Events (we, us, our) collects, uses, stores, and discloses personal information when you use this service.

This policy is intended to align with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth), including APP 1 requirements for open and transparent management of personal information.

Depending on how you use this service, we may collect:

  • Account and authentication data: user ID, name, email, profile photo URL, email verification status, and authentication/session metadata.
  • Organizer application data: profile details, contact details, role information, and legal details such as ABN/ACN where provided.
  • Event and listing content: event details, venue/location, schedule data, media uploads, and external ticketing links supplied by organizers.
  • Communications: support requests, account notifications, and organizer/staff invitation-related emails.
  • Usage and analytics data: page views, event click-through tracking, and service interaction logs.
  • Security and abuse-prevention data: IP-derived client IDs, user-agent and request-header data used for bot checks and rate limiting.
  • Session cookie data: session cookie records used to keep users signed in and secure account access.

  • Directly from you: when you register, apply as an organizer, create events, upload media, or contact support.
  • Automatically: via cookies, server logs, event analytics, and abuse-prevention controls when you use the service.
  • From integrated providers: through authentication and infrastructure providers that support service operation.

We use personal information to:

  • provide and maintain event discovery and organizer tools;
  • authenticate users and manage session security;
  • process organizer onboarding and profile management;
  • detect abuse, fraud, and malicious automation;
  • monitor engagement analytics and improve performance;
  • communicate about service operations, accounts, and support;
  • comply with legal obligations and enforce platform rules.

6. Authentication and session handling

We use Firebase-based authentication and secure session cookies (including an HTTP-only session cookie) to verify identity and maintain signed-in sessions.

Session information may include account identifiers, email status, and security claims necessary to validate access and protect user accounts.

7. Organizer profile and legal information

Organizer applicants may provide business and legal information to support organizer operations, including ABN/ACN and related profile details where applicable.

Organizers are responsible for ensuring submitted information is accurate and lawfully provided.

8. Analytics, anti-abuse, and rate limiting

We track limited event engagement signals such as page views and click-through events to measure service usage and improve relevance.

We also apply bot checks and rate limiting that may use IP-derived identifiers and request metadata to protect the platform from abuse.

9. Disclosures and service providers

We may disclose personal information to providers that help deliver the service, including:

  • Authentication: Firebase/Google services used for account authentication and identity verification.
  • Cloud infrastructure: AWS services including DynamoDB and email tooling, and Cloudflare R2 for media storage.
  • Operational communications: email and notification providers used for account and organizer workflows.
  • Professional and legal support: advisers and authorities where required or permitted by law.

We take reasonable steps to ensure providers handle data consistently with this policy and applicable law.

10. External ticketing privacy boundary

As of 17 February 2026, ticket purchases are completed on third-party ticketing platforms chosen by organizers.

When you leave AusLanka Events and visit an external provider, that provider's privacy policy and terms apply to your transaction and data handling on their platform.

Some providers may process or store personal information outside Australia. Where overseas disclosure occurs, we take reasonable steps to ensure information is handled in a manner consistent with APP 8 and this policy.

12. Security, retention, and data breaches

We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification, or disclosure.

We retain personal information only for as long as required for service, legal, and operational purposes, then delete or de-identify it where reasonable.

If an eligible data breach occurs, we will respond in line with the Notifiable Data Breaches scheme under the Privacy Act 1988 (Cth).
